Executive Assistant

Peaceful Schools is expanding and seeking to fill an opening for a full-time Executive Assistant. As this position is newly developed and our team is currently looking for office space we anticipate this position will be based out of the Victor/Farmington/Rochester area.

The successful candidate facilitates the efficient operation of assigned Peaceful Schools projects by performing a variety of clerical and administrative tasks as assigned. Duties applicable to site or project.

Duties & Responsibilities:

· As the first point of contact, create and maintain a peaceful climate and welcoming environment at the assigned location. Welcome and directs visitors and clients.

· Answers and transfers phone calls, screening when necessary and delivering messages as needed to the appropriate team member.

· Monitor response to inquiries to ensure messages were received and timely follow up has been completed by the designated team member.

· Assist with coordinating vendor communications and connect with designated team members to address issues, logistics or timing of project deliverables.

· Organize and support internal and external communications including items such as meeting invitations, sending out agenda’s and meeting reminders, sending approved follow-up correspondence or sending approved introductory outreach.

· Communicates weekly schedule of job duties and communicates with supervisor duties to be completed throughout the week.

o Communicates with supervisor if concerns or questions needing to be prioritized with general requests from project team members.

o Communicate with supervisor any items needing to be purchased in person that are not able to be ordered online.

o Coordinates custodial routine to outline needs and schedules.

· Maintains digital and physical filing systems as assigned online and paper. Work with team to structure shared file locations to ensure efficient access to records and resources by key team members.

· Utilize digital office systems and project management tools to support workflow, organization, communication and collaboration across teams.

· Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.

· Responds to and resolves administrative inquiries and questions.

· Coordinates and schedule travel, meetings, and appointments for the project team members as needed and others as assigned.

· Coordinate logistics for travel that may include registration at conferences, hotel/transportation logistics, providing traveling team members with itinerary and logistics in preferred format.

· Prepare copies of training materials as needed for events.

· Maintains office supplies, place orders as needed, and coordinates maintenance of office equipment.

o Maintains copiers, including calling for service as need arises

o Updates and maintains information posted to entranceway for visitors

· Coordinates the ordering, shopping and setting up of catering and refreshments for office events and training.

· Work collaboratively with Peaceful Schools Accounts Manager to maintain system(s) for recording:

o expenses

o the use of petty cash

o other payments

· Maintains a system for recording assigned project equipment.

· Sort and distribute all incoming mail and package deliveries.

· Run errands as assigned including but not limited to post office as required, ordering of supplies, delivering correspondence/packages and/or other items as assigned.

· Training Center/Conference Room Schedule Coordination: as applicable to site location.

o Coordinate and maintain PS Training Center scheduling and support all aspects of scheduled events as assigned.

o Work with PS Management to develop Training Center contracts/rental agreements.

§ Administer all contracts and rental agreements with customers.

o Work with customers to administer all Hold Harmless Agreements and other necessary paperwork for insurance purposes.

o Accept and track payments for Training Center room(s) rental following the PS financial policies.

o Order materials, supplies and items needed for the Training Center.

o Launder Training Center items as needed including but not limited to tablecloths.

o Maintains a system for recording:

§ expenses

§ the use of petty cash

§ other payments

Qualifications:

 

1. HS Diploma/GED required with 5 years relevant experience or Associates/Bachelor’s Degree in Hospitality, Business, or related degree with 2 years relevant experience.

2. Excellent verbal and written communication skills.

3. Excellent interpersonal and customer service skills.

4. Proficient in Microsoft Office Suite or related software.

5. Excellent organizational skills and attention to detail.

6. Basic understanding of clerical procedures and systems such as recordkeeping and filing.

7. Ability to work independently.

8. Fingerprint and background clearance as required under Laws of New York 2001, Chapter 180, and its subsequent amendments.

Working Conditions & Physical Requirements:

· Full-time, non-exempt position.

· Typical schedule is Monday – Friday 40 hours per week as assigned.

· Some evening and weekend availability as needed.

· Homebase – As assigned.

· Some telecommuting/remote work with supervisor approval.

· The position will require NYS Driver’s License, a vehicle, up to date insurance, and inspection.

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 50 pounds at times.

Technical Support Specialist

Peaceful Schools is expanding and seeking to fill an opening for a full-time Technical Support Specialist. As this position is newly developed and our team is currently looking for office space we anticipate this position will be based out of the Victor/Farmington/Rochester area.

The successful candidate acts as the frontline problem-solver for Peaceful Schools Learning Management System, helping end-users troubleshoot and resolve technology-related issues. The specialist will act as the vital bridge between the software and its users to ensure smooth digital education experiences.

Duties & Responsibilities:

· Serve as a primary liaison between the leadership teams of New York State Mental Health Alliance and Peaceful Schools to support the implementation, coordination, and continuous improvement of the Certified Mental Health Support Specialist (CMHSS) Curriculum and Training platform CMHSS Learning Management System (LMS).

· Be proficient in supporting the day-to-day operation of the selected LMS.

· Set up accounts and provide access to the LMS/computer systems.

· Provide onboarding, training, and ongoing technical assistance to SMEs and instructors on LMS functionality, course management, and digital instructional tools.

· Serve as the primary point of contact for user accounts including instructors, students and others seeking technical assistance, responding via phone, email or chat.

· Coordinate with the LMS vendor and implementation partners to maintain, update, and optimize the LMS platform and related integrations.

· Oversee backend LMS administration, including user management, permissions, enrollment processes, and system configuration.

· Support users in the upload, organization, integration, and maintenance of course content, instructional materials, assessments, and multimedia resources within the LMS.

· Ensure the LMS environment complies with accessibility standards, ADA requirements, privacy regulations, and equitable digital learning practices.

· Promote equitable access to training by identifying and addressing barriers related to technology, usability, and learner support.

· Provide technical support to credential users and instructors, including troubleshooting issues related to login access, navigation, course participation, and certificate retrieval.

· Act as the lead point of contact for Subject Matter Experts (SMEs), course instructors, and training facilitators utilizing the LMS platform.

· Develop and maintain user support protocols that promote timely, culturally responsive, and learner-centered assistance.

· Monitor LMS performance, functionality, and system reliability, proactively identifying and resolving technical concerns.

· Log and produce reports as directed pertaining to technical assistance request from users and collaborators.

· Collaborate with project leadership and the LMS agency to coordinate software updates, enhancements, and platform improvements.

· Configure and maintain reporting and analytics tools to monitor learner engagement, progress, course completion, and credential attainment.

· Support evaluation and quality improvement efforts by generating reports and ensuring access to accurate learner and system data.

· Assist in the development of user guides, onboarding resources, FAQs, and training documentation for instructors and learners.

· As directed support communication between SMEs, instructors, leadership teams, and LMS vendors to ensure alignment and efficient project implementation.

· Provide weekly updates to the leadership team on workflow and LMS system utilization.

· Support the integration of multimedia, interactive learning tools, and continuing education modules within the LMS environment.

· Maintain confidentiality, data integrity, and professional standards in all LMS administration and user support activities.

· Contribute to the sustainability and long-term success of the CMHSS initiative through ongoing system management, stakeholder support, and continuous improvement efforts.

· Actively participate in Peaceful Schools staff trainings and meetings, as well as in select school-based trainings and meetings.

Qualifications:

1. Minimum of a Bachelor’s Degree in Computer Science, Office Technology or related field. Masters preferred.

2. Five years preferred experience with Learning Management Systems. Black Board preferred.

3. Excellent communication and problem-solving skills, and the ability to build strong relationships with a diverse range of stakeholders.

4. Strong organizational and time management skills.

5. Must be able to work independently.

6. This position requires a highly collaborative and data-focused individual dedicated to improving the educational experience for all users.

Working Conditions & Physical Requirements:

· Full-time.

· Day-to-Day schedule will be determined based on hours of the program and demands of the implementation and assigned by the supervisor.

· It is anticipated that the position may occasionally require evening or weekend availability to attend conferences, events, and meet with stakeholders outside of typical workday schedule if needed.

· Participation in Professional Development sessions, other essential functions, as needed and report to assigned location as determined by supervisor.

· Some telecommuting/remote work with supervisor approval.

· Require NYS Driver License and ability to easily travel between Peaceful Schools main office and other locations. In addition, travel as needed to build relationships.

· Must be able to lift up to 25 pounds at times.

Community Schools Coordinator – East Irondequoit

Peaceful Schools is seeking to fill an immediate opening for a Community Schools Coordinator that will be based out of the East Irondequoit High School.

The successful candidate should be an education or social service professional with expertise in community organizing, public health administration, or human services. The Community Schools Coordinator will create, strengthen, and maintain the bridge between the school and the community. Coordinators provide collaborative leadership to support a continuum of services for children, families, and community members within a school neighborhood. Specific focus will be given to activities that promote a whole-child, whole-family approach to optimal health throughout the community. This position will be based out of East Irondequoit High School.

Under the supervision of the Peaceful Schools Director of Community Schools, the Coordinator will work in close partnership with the building principal and school stakeholders to plan, recruit, manage, and coordinate student support and services provided by an array of community partners. The coordinator will facilitate the development of an Optimal Health Plan specific to the assigned school site, aligned with the School Improvement Plan.

Community Schools Coordinator Duties & Responsibilities:

· Responsible for all aspects of developing the Community Schools model and programming in partnership with and under the direction of the Peaceful Schools Director of Community Schools.

· Support the process of conducting a Needs & Assets Assessment, working with designated district and building data managers/teams to organize the data for presentation to stakeholders, working with identified teams to make sense of the data and to drive decision making.

· Organize and oversee assets and needs assessments on an ongoing basis and seek input from teachers, schools, school staff, parents, and students to determine ongoing needs of students and families.

· Guide and facilitate the development of a Community Schools plan specific to the assigned site, aligned with the District Community Schools goals and objectives and aligned with the school Educational Plan.

· Develop a work plan corresponding to the Community Schools goals and objectives.

· Support the coordination to implement a menu of needs-driven, high-quality programs and services in adherence with the community school model, including but not limited to expanded learning opportunities, health services, parent/family engagement adult education, direct material assistance, and interventions targeted to chronically absent students.

· Ensure alignment and integration of all programming with the district and building leaderships vision and family engagement priorities.

· Support initiative coordination in collaboration with the building principal, providing leadership for coordinating the work of different partners within the school, aligning the work of partners with school improvement goals.

· Coordinate the delivery of training and technical assistance to ensure cultural and linguistic appropriateness of services, programs, and communication efforts.

· Serve as a point person for agencies and programs interested in partnering with the school, facilitate alliances, and help to broker new partnerships with City agencies and not-for profits partners that are aligned with school goals and needs, establishing a continuum of services for students.

· Develop strong relationships with teachers, parents, and students.

· Build relationships and mechanisms to effectively link the school day to expanded learning opportunities outside of typical school hours including nights, weekends and during school recess.

· Support evaluation of the community school by participating in the coordination of data collection, timely submission of reports and responses to other requests for information

· Work with school leadership to maintain a focus on results and track progress.

· Participate in capacity-building activities, including initiative-wide and site-based trainings, network meetings, and with the principal ensure the participation of other site-based staff as needed or required.

· Represent the community school strategy in various public forums as needed and participate in advocacy activities to promote the community school strategy.

· Assist school and partner agencies with resource management and development, including fund development and grant maintenance.

· Coordinate the allocation of space for student and family support services, and for special events.

· Collaborate and coordinate with the Community Schools Assistant(s) to align requested tasks with project priorities and to schedule requested supports.

· Actively participate in Peaceful Schools staff trainings and meetings, as well as in select school-based trainings and meetings.

· Computer and social media literate include basics in Microsoft Word, Excel, PowerPoint, Outlook and on-line media social media platforms.

The position will require evening and weekend availability to conduct events and meet with parents and community stakeholders outside of the typical workday schedule. The position is located in Syracuse, NY.
